Provide direct leadership to AOPA's presence at major aviation shows and events to include Sun 'N Fun and AirVenture. Develop all programming and logistics plans, oversee the implementation of the event, and manage aviation show budgets. Serve as member of Outreach Team, providing support to other AOPA event programs to include the Frederick Fly-In and AOPA Regional Events.
Manage AOPA’s events at Sun ‘N Fun and AirVenture, developing a detailed plan for all activities at aviation shows and other major events to include developing a comprehensive program plan that guides AOPA members and visitors to have an extensive presence and experience with the AOPA brand while attending these events, providing infrastructure and support for other AOPA department’s activities at the aviation shows, developing staging guides, recruiting and managing event volunteers, staff, and contractors to execute a professional and excellent event.
Secure and manage contracts with outside vendors for technical, audio visual, lighting, staging, tents, furniture, and other facility needs at aviation shows and other Outreach events.
Serve as liaison with Sun’N Fun, EAA, and other organizations at events where AOPA participates, managing those relationships to ensure a professional and mutually beneficial relationship between AOPA and other aviation organizations.
Determine yearly fiscal requirements for AOPA’s presence at major aviation shows and prepare annual budgetary recommendations to the Director of Outreach and Events. Manage all expenses for aviation show production to budget, realigning priorities when necessary to reduce costs.
Develop and oversee logistics plan for transportation and shipping of all supplies, resources, and equipment, to include management and shipping of other department’s materials for aviation shows and other Outreach events.
Recruit and train AOPA staff and volunteers to support aviation shows and other Outreach events.
Participate with the Outreach and Events team in the development of AOPA Regional Fly-In events, the Frederick AOPA Open House / Fly-In, AOPA Foundation events, and other programs as assigned.
Provide post-event analysis of aviation shows and other events and incorporate lessons-learned into future event planning and processes.
Desired Job Experience
Bachelor’s degree, and five to eight years work experience in event planning and budget management or equivalent relevant work experience. Must possess excellent oral, written and interpersonal communication skills, professional attitude, multiple project management skills and an attention to detail. Must be innovative, a problem solver and have some understanding of special relations to create accurate layouts of event displays. Must be able to both think independently and lead a team to devise a common goal and work product. Must be proficient in personal computer operations including Microsoft Word and Excel and ability to become versed in Oracle membership database.
